About the Role

You’ll be a welcoming first point of contact for patients while supporting front-office operations and assigned clinical duties under the direction of licensed providers.This role combines customer service, administrative responsibilities, and clinical support to keep daily clinic operations running smoothly. The ideal candidate is compassionate, detail-oriented, and comfortable multitasking in a fast-paced environment.

Key Responsibilities

  • Greet patients warmly, complete check-in, and coordinate appointments.
  • Explain insurance benefits, coverage, and out-of-pocket costs clearly and compassionately.
  • Collect and process patient payments accurately.
  • Maintain accurate patient and insurance information in the EHR.
  • Answer calls, manage messages, and respond to emails, texts, and faxes.
  • Complete daily cash reconciliation, End-of-Day records, and bank deposits as assigned.
  • Provide administrative support and help maintain efficient clinic flow.
  • Keep the front desk and waiting area clean, organized, and welcoming.
  • Assist with patient rooming and assigned clinical duties under provider direction, consistent with training and applicable requirements.
  • Assist with inventory and keep clinic supplies, snacks, and supplements stocked.
  • Attend required team meetings and training.
  • Maintain patient confidentiality and follow HIPAA, safety standards, and clinic policies.

Qualifications

  • High school diploma or GED required.
  • Previous medical office, medical assisting, or healthcare experience preferred.

  • Comfort discussing insurance, billing, and payment questions.
  • Basic computer skills; familiarity with EHR systems and Microsoft Office preferred.

  • Successful completion of a criminal background check.

Clinic operating hours:

  • Monday: 8:00 AM–5:00 PM
  • Tuesday: 8:00 AM–7:00 PM
  • Wednesday: 8:00 AM–1:00 PM
  • Thursday: 7:00 AM–5:00 PM
  • Friday: 8:00 AM–5:00 PM
  • Saturday: 8:00 AM–12:00 PM

Part-Time Schedule: Tuesdays/Wednesdays/Thursdays/Fridays/Saturdays
 

Saturday Availability: Must be available to work 2-3 Saturdays per month.

Employees are expected to arrive 15 minutes before their scheduled shift and record all time worked.

Work Environment and Physical Requirements

  • Onsite clinical setting with direct patient interaction.
  • Ability to sit, stand, and move throughout the clinic.
  • Ability to lift up to 25 pounds and perform fine motor tasks, with reasonable accommodation as applicable.
