About the Role

As a Patient Services Coordinator, you’ll be the welcoming face and voice of our clinic. You’ll play a key role in creating a positive, seamless experience for every patient—from the moment they walk through our doors to the time they leave.

This is a fast-paced, people-focused position that combines exceptional customer service with administrative responsibilities. You’ll help coordinate appointments, assist patients with billing and insurance questions, process payments, maintain accurate records, and support the clinic team with daily operations.

The ideal candidate is energetic, compassionate, detail-oriented, and comfortable multitasking while maintaining a warm and professional attitude.

What You’ll Do

  • Welcome patients warmly, check them in, and assist with rooming for appointments
  • Answer patient questions regarding billing, insurance, benefits, and out-of-pocket costs
  • Explain insurance coverage and benefits clearly, confidently, and compassionately
  • Enter and maintain accurate patient and insurance information
  • Answer incoming calls professionally, direct calls, and take messages as needed
  • Collect and process patient payments accurately
  • Monitor and respond to center emails, text messages, and faxes throughout the day
  • Follow up on patient communications in a timely manner
  • Perform bi-monthly inventory and help ensure the center has the supplies it needs
  • Attend monthly, quarterly, and annual meetings as needed
  • Maintain compliance with HIPAA and all clinic policies and procedures
  • Complete bank deposits twice weekly and maintain accurate daily End-of-Day records
  • Provide administrative and clerical support to clinic staff
  • Keep the front desk and waiting area clean, organized, and welcoming
  • Keep snacks and supplements organized, stocked, and ready for patients
  • Help create an exceptional patient experience that encourages long-term patient relationships

What We’re Looking For

  • High school diploma or equivalent required; associate degree preferred
  • Previous healthcare or medical front-office experience preferred
  • Excellent customer service and communication skills
  • Professional, friendly, and compassionate approach to patient interactions
  • Ability to handle confidential patient information with discretion
  • Basic computer skills and comfort using email, fax, and other electronic communication tools
  • Highly organized and detail-oriented
  • Ability to multitask, prioritize, and stay calm in a busy clinical environment
  • Familiarity with medical terminology and healthcare procedures is a plus
  • Successful completion of a criminal background check

Clinic Schedule

Our clinic hours are:

  • Monday: 8:00 AM – 5:00 PM
  • Tuesday: 8:00 AM – 7:00 PM
  • Wednesday: 8:00 AM – 1:00 PM
  • Thursday: 7:00 AM – 5:00 PM
  • Friday: 8:00 AM – 5:00 PM
  • Saturday: 8:00 AM – 12:00 PM

Must be available to work 2–3 Saturdays per month.
